As an international student coming to study at the University for a full-time course, you must accept your offer and apply for a student pass before coming to Malaysia to start your course.

For Undergraduates and Post Graduate Coursework students, you can start applying for your student pass as early as four months but no later than two months before the commencement of your course.

For research students, please submit your request to amend your course commencement date in your offer letter if it is lesser than the minimum two months processing time.

Do not make any arrangements to enter Malaysia until you have obtained the approval of your visa application.

• Documents required (softcopy):Additional documents and/or actions are required and to be provided during the submission of your student pass application if you are under these categories: • You may check the status of your student pass application after 14 working days upon submitting the complete documents and payment to either EMGS (DA) or through the University (NDA). • After the Immigration Department of Malaysia approves your student pass application, you will receive an email notification from ISP. You may download a softcopy of your Electronic Visa Approval Letter, which is also known as eVAL. • Before arriving Malaysia, you will need to ensure that you have prepared and completed the necessary pre-arrival steps as per the Entry Guideline and follow on with the arrival steps accordingly, as it is unlikely that you will have difficulties with the Immigration Officer upon arrival at the airport if you followed the steps provided. • Please follow the steps below1. Medical screening must be completed within seven (7) days at an EMGS appointed clinic or hospital. The nearest clinics to Monash University Malaysia are located in Subang Jaya. Please ensure that the clinic has an in-house X-ray facility for your convenience. Bring along the following:**You are only required to print the above documents2. Please drop by the ISP Counter located at Building 2, Level 1, with the following items:3. Wait for the release of your passport with the issuance of a student pass sticker. This process will take an estimated time of six (6) working weeks and you are not advised to make any travel arrangements without a physical passport.4. You will be notified via email once your passport is ready for collection.5. An i-Kad will be issued two weeks after you receive your passport. You will also receive an email notification from us once it is ready for collection. An i-Kad is an identification card for international students and can be used as a means of identification, but not as a replacement of your passport. A renewal of i-Kad for Direct Applicants (one-off) is required three months prior to expiry. • If your student pass has expired/will be expiring in 14 days from the date of your submission to ISP, you will be advised to apply for a Special Pass. A Special Pass ensures you have a valid pass while your renewal application is being processed and is issued at the discretion of Immigration.If advised by ISP to apply for a Special Pass, please submit the following documents to ISP, Building 2 Level 1:Make payment for the Special Pass fee of RM300 and submit the proof of payment at the Finance Helpdesk.Do you have more questions? Have you lodged an application for a Malaysian student pass before? Yes | No You are required to opt for NON-DIRECT STUDENT PASS APPLICATION where Monash will apply for your student pass. Fill out this form to start applying for your student pass. | You are required to opt for DIRECT STUDENT PASS APPLICATION* where you have to apply directly to EMGS . Read this guide prior to applying for your student pass. *All direct applicants are advised to apply for a one-off student pass which covers the entire course duration.

Exchange and Study Abroad | Conditions Students coming for an exchange or study abroad program must apply directly with EMGS for one (1) semester , and must apply for a student pass duration of six (6) months , while students attending two (2) semesters must apply for a student pass duration of twelve (12) months . Documents 1. Letter of confirmation of enrolment by your home institution on your home institution's letterhead that has been issued recently (must be entirely in English; otherwise, English translations must be stamped and verified by your home institution). You may refer to this sample; 2. Insurance coverage premium. Progressing or transferring from another institution | Documents 1. Release Letter and attendance report (attendance should not be less than 80%); 2. A copy of the latest valid pass and/or exit stamp (if the previous pass has been cancelled and you are outside Malaysia). 3. Optional : A Special Pass may apply to you if you are in Malaysia and your pass has expired/ will be expiring in 14 days. Progressing within Monash | 1. If you are in Malaysia and planning to stay until the commencement of the new semester, you will need to ensure that your student pass is valid at all times. A Special Pass may apply to you if your student pass has expired/ will be expiring in 14 days. 2. If you are in Malaysia and planning to return to your home country until you receive an eVAL before returning to Malaysia. Please submit your passport to ISP (Building 2, Level 1) for the cancellation of your student pass. Changing course within Monash (Internal Course Transfer) | Conditions 1. If your student pass exceeds one year validity, you will need to cancel your student pass, exit Malaysia and apply for a new student pass that takes eight (8) weeks processing time. 2. If your student pass is valid for a year: If you have studied less than a year of the current enrolled course, you do not need to exit Malaysia during your new student pass application processing. If you have studied more than a year of the current enrolled course, you will need to cancel your student pass, exit Malaysia and apply for a new student pass that takes eight (8) weeks processing time. 3. Application for a new student pass due to a change of course is permitted up to a maximum of two times throughout your period of study in Malaysia. Documents 1. Explanation Letter of the reason for the change of course; 2. Optional: Supporting documents

IMPORTANT The estimated Student Pass Endorsement processing time by the Immigration Department of Malaysia is 6 weeks. You are advised not to make any travel plans until your passport has been returned with your student pass sticker.
